What will YOU be doing for us?   Manage provider directories, including entering data for new records, termination of existing records, and ongoing audits and corrections for active records. Utilize research and knowledge of network configurations and the Enterprise system to resolve provider data questions and discrepancies.     Â
What will YOU be working on every day?Â
- Set up newly activated provider records in the Enterprise system’s participating networks
-  Manually load rejected provider data into the Enterprise system, reviewing data for discrepancies in data received. Research or coordinate or escalate for clarification from the client for issues related to data received. Â
- Perform quarterly data verification procedures in accordance with company procedures and CMS requirements, validating the provider network.
- Coordinate with Provider Relations to conduct outreach to provider offices to resolve provider data questions and discrepancies
- Utilize the Provider-related modules in the Enterprise System to research and resolve provider data set up issues and discrepanciesÂ
- Complete follow ups, service tickets, and emails according to the department expectations.
- Work with internal departments to resolve simple to moderately complex follow ups and service tickets generated from clients, providers and internal sourcesÂ
- Using automated systems, maintain updated data on client and Skygen owned provider networks by verifying accuracy and handling any exceptions or issues
- Work directly with client representatives to resolve provider data issues and update provider data per client or provider request.
- Act as a liaison between internal Skygen teams to resolve escalated contracting and fee issues related to provider data errors or discrepanciesÂ
- Act as a liaison between internal Skygen team and Dental Reimbursement to resolve any escalated claim inquiry related to provider data errors or discrepanciesÂ
- Work with internal departments to resolve provider complaints and escalations including state level complaints
- Assist Client Services in researching and resolving client inquiries that involve in depth knowledge of provider set upsÂ
- Process EFT set up requests form provider officesÂ
What qualifications do YOU need to have to be GOOD candidate?
- Required Level of Education, Licenses, and/or Certificates
- High school diploma or equivalent
- Required Level of Experience
- 1 -2 years of prior related experience in resolving escalated and challenging customer/client issues, experience managing large quantities of data accurately and efficiently, experience identifying and resolving data discrepanciesÂ
- Required Knowledge, Skills, and AbilitiesÂ
- Intermediate knowledge of Microsoft Office products including Word, Excel, and Outlook
- Solid communication written and verbal communication skills
- Ability to communicate effectively with a variety of communication styles
- Strong analytical skills
- Ability to effectively listen and respond to internal and external customer needsÂ
- Ability to resolve routine to moderately complex problemsÂ
- Ability to adapt to changing prioritiesÂ

The Opportunity
We’re looking for a detail-oriented, process-driven Warranty Processing Specialist to join our high-impact FileSmart team. In this remote role, you’ll work directly with dealership service departments to help them maximize reimbursement opportunities by preparing and submitting precise, compliant labor rate and parts rate increase requests to automotive manufacturers.
You’ll serve as a trusted partner to our clients, an expert in documentation and compliance who ensures every submission meets strict manufacturer and legal requirements. What You’ll Do
Filing Preparation & Submission
- Review customer pay repair orders (ROs) within Dynatron’s software to ensure alignment with manufacturer and state requirements
- Calculate average labor rates and parts markups using qualifying ROs and preset guidelines
- Prepare accurate, complete filing packages for submission to manufacturers, including summaries, supporting documentation, and required forms
- Submit warranty labor rate and parts rate increase requests within specified timelines
Compliance & Communication
- Ensure full compliance with all manufacturer rules, guidelines, and filing deadlines
- Respond to inquiries from dealerships or manufacturers regarding filing status, documentation, or clarifications
- Maintain organized records and communicate filing updates to dealership management when necessary
Industry Awareness & Continuous Improvement
- Stay current with evolving manufacturer policies, warranty reimbursement rules, and state laws
- Identify patterns and insights that help improve accuracy and approval rates
- Participate in special projects and contribute to internal process improvements as needed
What You Bring
- 1-2 years of experience in an automotive dealership service department (warranty administration, service advisor, technician, or service management experience preferred)
- Proficiency in Microsoft Excel and document preparation tools
- Understanding of manufacturer warranty policies and ability to follow detailed guidelines
- Strong organizational and time management skills with a focus on accuracy and timeliness
- Excellent written and verbal communication skills
- Analytical mindset with the ability to recognize patterns and solve problems independently
- Ability to work remotely with minimal supervision and manage multiple submissions in a fast-paced environment

Compensation
Base Salary: $45,000-$52,000
