Operations Support Analyst (Contractor)

Job Details

Accela is hiring a contractor to support email deliverability operations for our Public Portal product. This role resolves email delivery failures — primarily blocked addresses in SendGrid — that affect customer-facing notifications and user account provisioning. You will work within Accela’s Customer Support organization to ensure that public-facing email communications reach the intended recipients and that delivery issues are resolved quickly.

This is a focused, operational role. We are looking for someone who is detail-oriented, methodical, and reliable. No prior SaaS experience is required — comfort with web-based admin tools, clear written communication, and a steady, process-driven approach are what matter most.

This will be a 6 month contract.

SPECIFIC RESPONSIBILITIES 

  • Monitor and triage email delivery issues reported through Salesforce support cases related to Public Portal notifications
  • Use SendGrid administrative tools to look up blocked email addresses, identify the cause (bounce, block, spam complaint), and unblock when appropriate
  • Update Salesforce cases with resolution notes and confirmation of action taken
  • Communicate clearly and professionally with support engineers and customers through case comments
  • Track recurring patterns in email delivery failures and flag systemic issues to Support leadership
  • Maintain a simple log of unblock actions for reporting and trend analysis
  • Meet defined service-level targets for case response and resolution

REQUIRED QUALIFICATIONS

  • 1+ year of experience in customer service, email administration, IT helpdesk, or technical support
  • Comfortable navigating web-based administrative dashboards and tools
  • Strong attention to detail and able to follow consistent processes accurately
  • Clear, professional written communication
  • Reliable internet connection and able to work standard U.S. business hours

COMPENSATION AND WELL-BEING
The annual base salary range for this full-time position is $20.00/hour to $25.00/hour. (less applicable taxes). The actual annual base salary offered may be adjusted based on a variety of factors, including but not limited to, location, education, skills, training, and experience.

Responsible for accurate and timely billing and account collections.

Obtains required billing information / documentation (pre-certifications, codes, insurance information) and enters into database.

Identifies and resolves denied claims, escalating accounts as necessary to ensure timely payment of claims.

Assists customers with billing questions.

Prepares and maintains billing and related reports.

Position Responsibilities:

• Identifies items to be billed by procedure and services performed.

• Obtains necessary documentation for billing and obtains pre-certifications.

• Enters all charges and submits bills in accordance with Patient Accounting policy.

• Posts payments, performs daily reconciliations, produces daily census, and performs month end close.

• Maintains data in billing management system, i.e. updating current and adding new demographic information, and ensures that documentation entered is accurate and complete.

• Analyzes, identifies and trends billing issues to proactively reduce denials and variances.

• Works system generated reports such as residual balance, credits, no-pay.

• Reports and resolves variances and inefficiencies, escalating accounts as necessary to resolve billing issues.

• Interacts / communicates effectively with various department staff and assists customer service inquires both internally and externally: liaison with Patient Accounting and Physician billing services, employers and insurance carries to ensure accurate and timely billing process.

• Maintains open communication with management regarding billing and coding issues including documentation, denials/appeals, etc.

• Follows up on assigned insurances on a monthly basis and maintains records of declined claims requiring appeals.

Position Qualifications Required / Experience Required:

1-3 years experience in billing, collections, registration, or related hospital / office environment.

One year of Epic system experience highly preferred

Must have fast, accurate data entry skills.

Good organizational skills and attention to details.

Must be able to work in a fast paced environment with excellent customer service and interpersonal skills.

PC literate with a working knowledge of Microsoft Office applications (Word, Excel, Access)

Required Education:

High School diploma or equivalent.

Hourly Rate: $19.54 – $29.20 The actual salary/rate will vary based on applicant’s experience as well as internal equity and alignment with market data.

Sells products and calibration services to business and industrial establishments or individuals over the telephone by performing the duties listed below. Answers and responds to customer inquiries regarding any issue including billing or expediting orders. Responsibilities

  • Primary focus is to handle inbound sales calls, emails and Chats for product and calibration sales. Skills required would be the ability to cross sell stock calibration, repair services and accessories as well as assist customers with customer service issues.   Handles inbound calls, emails and Chat to close orders and increase customer loyalty. 
  • Builds and maintains customer’s relationships by offering a consultative approach. Uses listening skills to identify customer needs, opportunities, and makes decisions on next steps.
  • Cultivates sales call opportunities in order to generate incremental business. Asks probing questions to understand customer requirements and quotes appropriate product and services to meet the customer’s needs.
  • Prepares product and calibration quotes and orders.
  • Demonstrates ability and proficiency to upsell and increase average order size (dollar amount).
  • Provides technical product support to the customer and involves applicable marketing and/or vendors to determine specifications needed for the customer’s applications.
  • Overcomes technical and business objections of prospective customers and assists the sales process to close.
  • Estimates date of delivery to customer, based on knowledge of Transcat’s inventory levels and vendor delivery schedules. Investigates and resolves customer problems with deliveries.
  • Complies with all mandatory call requirements including data hygiene of contact information both in D&W and the CRM system.
  • Pass on lead referrals to outbound and field sales group, and effectively communicate with all necessary parties to further penetrate market share.
  • Accurately enters new customer data and other sales data for current customers into computer database.
  • Perform contract review with customers.
  • Provide exceptional customer service to both internal and external customers.
  • Always establish and maintain professional telephone etiquette for incoming and outgoing calls.
  • Other duties as directed
