SUMMARY

Responsible for providing customer service and clerical support to assist Producers and service team in supporting existing accounts and soliciting new business.    

This opportunity falls under our Alliant Specialty division. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Sets-up prospect and customer files; sets-up and process dead files; conducts miscellaneous filing;

Answers telephone and routes calls to others; operates fax machines, scanners, printers and copiers;

Assists service team with assembly of marketing materials, proposals and presentations for prospects
and customers;

Inputs prospect and customer data into applications;

Provides word processing assistance as required;

Inputs information into agency management system;

Maintains inventory and coordinates ordering of all commonly used office supplies;

May conduct agency billing and processing check requests;

Complies with agency management system data standards and data integrity (enters and maintains complete and accurate information);

Other duties as assigned.

QUALIFICATIONS

EDUCATION / EXPERIENCE

High school diploma or equivalent combination of education and experience  

Up to 2 years related work experience 


SKILLS

Good verbal and written communication skills 

Good customer service skills, including telephone and listening skills

Good problem solving and time management skills

Intermediate typing skills (30-35 wpm)

Ability to work within a team and to foster teamwork 

Ability to prioritize work for multiple projects and deadlinesProficient in Microsoft Office Suite

Summary/Objective

The Dispatch & Recruiting Coordinator is responsible for supporting field operations by coordinating manpower across active projects while also driving recruiting efforts to meet workforce demands. This role is critical in a fast-paced, high growth environment and requires the ability to balance real time dispatching with proactive recruiting and onboarding.

Responsibilities

Essential Functions

Dispatch/Operations Coordination

  • Coordinate daily dispatch of field personnel across multiple projects and locations
  • Partner with Operations to forecast manpower needs
  • Track workforce availability and proactively identify staffing gaps
  • Ensure personnel are mobilized on time and meet all client and project requirements
  • Maintain accurate records within dispatch systems and databases
  • Communicate closely with field leadership to support execution and resolve staffing issues in real time

Recruiting & Workforce Development

  • Actively source, screen, and coordinate hiring of field personnel to meet project demands
  • Develop and maintain pipelines of qualified candidates (active and passive)
  • Post job openings across appropriate platforms and industry networks
  • Build relationships with candidates to support ongoing workforce needs
  • Conduct initial candidate outreach, screening, and coordination with hiring managers
  • Partner with Recruiting/Hiring team to improve speed and quality of hires

Onboarding & Compliance

  • Coordinate onboarding process to ensure new hires are project-ready
  • Process new hire paperwork and maintain accurate employee records
  • Manage compliance requirements including DISA and client-specific programs
  • Schedule and track drug/alcohol testing and ensure workforce eligibility
  • Ensure all personnel meet site access and safety requirements prior to dispatch

Administrative & Process Support

  • Maintain organized documentation and reporting related to dispatch and recruiting activities
  • Support continuous improvement of dispatching and recruiting workflows

Supervisory Responsibility

This position will have no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment. May be required to operate in a petrochemical/ refinery environment with exposure to cold working conditions during winter months and hot working conditions during the summer months; exposure to noise, workers must wear protecting hearing equipment or frequently shout in order to be heard above ambient noise level. In an emergency situation, exposure to hazardous chemicals may occur and the use of a respirator is required. May be required to be fit tested for the various respirators used as well as the ability to successfully pass a pulmonary function test (PFT).

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

While performing the duties of the job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.

Position Type/ Expected Hours of Work

This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.

Travel

Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

Qualifications
